We aim to stop the spread of the worldwide epidemic of TB and to prevent the further spread of drug-resistant TB.

We are recruiting to fill the position below:

 

Job Title: Senior HR Associate

Locations: Abuja

Employment Type: Contract

Purpose of Job

  • The purpose of this role is to ensure the efficient and confidential management of staff records and HR processes within the organization.
  • The primary duty of the Senior HR Associate includes maintaining up-to-date electronic and hard copy files, overseeing the onboarding and offboarding of staff, and supporting the Senior HR Officer in key HR functions such as updating Key Performance Indicators, job descriptions, and initiating performance management cycles.
  • The role also involves tracking staff contract durations, and providing critical HR data to the HR Manager for informed decision-making.

Job Description

  • Maintain up-to-date staff records in both electronic and hard copy files and ensure the files are complete and all required documentation maintained in a confidential and secure manner.
  • Liaise with the HR Officer to ensure seamless onboarding and Offboarding of Staff.
  • Support the Senior HR Officer in the update of Key Performance Indicators, Job description and initiation of Performance Management cycle for staff.
  • Liaise with the Senior HR Officer to track the duration of all staff contracts and ensure they are updated or notified of termination a month before the due date.
  • Supervise the Human Resource Associate in the preparing of all staff correspondence as assigned to him or her.
  • Coordinate medical reimbursements process for all HMOs for staff and their dependents for completeness and files claims to the Insurer for refund; follows up whether these claims are reimbursed in time.
  • Support the HR Manager to follow up confidentially on issues raised by the Compliance department in the vetting of staff certificate and documentations.
  • Participates within the larger Global HR team to share ideas, develop standard best people practices, and implement best practices across KNCV Clusters.
  • Maintain an updated full-time, Associates and Adhoc staff list and monitor the demographics to give informed decision to the HRM on staff demographics e.g., gender ratio etc.
  • As needed by the HR Manager extract via OrangeHRM monthly timesheet and leave report for salary variances.
  • Maintain Tracker of 90 days probationary Performance Review and following up with HR officer to ensure that supervisor complete all probation Appraisal for new supervisees.
  • The Senior HR Associates reports to the HR Manager

Responsibilities

  • Support the HR Manager in the sending out of recruitment invites.
  • Ensure that recruitment feedback is sent to unsuccessful applicants.
  • Ensure that new staff documentation is received promptly, and information is captured accurately.
  • Ensure uttermost confidentiality of recruitment test and interview

Skills and Qualifications

  • A degree in Business Management or any other relevant degree
  • Working Knowledge of program management Especially USAID and Global Fund-funded projects.
  • Good written and oral communication skills.
  • Ability to multitask.
  • Ability to work with discretion.
