Job Title: Executive Assistant
Location: Abuja (FCT)
Employment Type: Full-time
Responsibilities
The roles and responsibilities of this include but not limited to:
Administrative Support:
- Manage the Director’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Maintain and organize files, records, and documents for easy retrieval.
Meeting Coordination:
- Schedule, coordinate, and prepare for meetings, including setting agendas, taking minutes, and distributing follow-up materials.
- Arrange logistics for meetings, such as booking conference rooms, organizing refreshments, and ensuring technical equipment is set up.
Communication and Liaison:
- Act as a liaison between the executive and internal/external stakeholders.
- Coordinate and communicate with other departments and external partners as needed.
- Handle confidential and sensitive information with discretion.
Office Management:
- Oversee the organization and tidiness of the Director’s office area.
- Manage office supplies and equipment, ensuring they are stocked and functioning properly.
Travel Arrangements:
- Plan and book travel itineraries, accommodations, and transportation for executives.
- Prepare detailed travel itineraries and ensure all travel-related documents are in order.
Project Management:
- Assist in the planning and execution of special projects and initiatives as directed by the Director.
- Monitor project timelines and deliverables, ensuring deadlines are met.
Qualifications
Education and Experience:
- Bachelor’s Degree in Business Administration, Management, or a related field preferred.
- Proven experience as an Executive Assistant or in a similar administrative role.
- Experience in Real Estate is a plus.
Skills and Competencies:
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- High level of discretion and confidentiality.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle multiple tasks and prioritize effectively.
