Job Summary
- The Executive Secretary provides high-level administrative support to senior executives, ensuring the smooth operation of the organization.
- This role requires exceptional organizational, communication, and problem-solving skills.
Key Responsibilities
- Provide administrative support to senior executives, including scheduling appointments, managing calendars, and making travel arrangements.
- Manage and track expenses, invoices, and receipts.
- Provide customer service and respond to inquiries.
- Maintain relationships with internal and external stakeholders.
- Stay up-to-date with organizational policies, procedures, and initiatives.
- Prepare and edit correspondence, reports, and presentations.
- Manage and maintain confidential and sensitive information.
- Coordinate meetings, conferences, and events.
- Develop and implement administrative processes and procedures.
- Perform other administrative tasks as required.
Skills and Qualifications
Essential:
- High School Diploma or equivalent required; associate’s or Bachelor’s degree preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and handle sensitive information.
- Strong problem-solving and analytical skills.
- 5+ years of experience as an executive secretary or administrative assistant.
- Excellent communication, organizational, and time management skills.
Desirable:
- Experience working with senior executives or high-level government officials.
- Knowledge of administrative software and systems.
- Certification as a Certified Administrative Professional (CAP) or Certified Professional Secretary (CPS).
- Bilingual or multilingual skills.
