Job Brief
- We are looking for a Front Desk Officer to uphold the image of the company by example and with the utmost professionalism.
- This individual will receive customers and clients and is charged with the responsibility of creating a positive and lasting first impression.
- The ideal candidate must be able to answer inquiries and give accurate information about the company. He or she must be conversant with the operations of the company.
- The ideal candidate will have an approachable and tidy appearance. He or she must be courteous and maintain a pleasant disposition.
- The ideal candidate will proactively attend to office activities, schedule appointments, receive parcels, verify identification and sign in guests, open and close the establishment, and act as an intermediary between clients and executive staff.
- Other duties may be assigned.
Responsibilities
- Greet and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Order front office supplies and keep an inventory of stock.
- Update calendars and schedule meetings.
- Arrange travel and accommodations, and prepare vouchers.
- Ensure the reception area is tidy and presentable.
- Provide basic and accurate information in person and via phone/email.
- Receive, sort, and distribute daily mail/deliveries.
- Perform other clerical receptionist duties such as filing, photocopying etc.
Qualifications
- Bachelor’s Degree in any related field.
- Proven work experience as a Receptionist or similar role.
- Proficiency in Microsoft Office Suite.
- Professional attitude and appearance.
- Excellent communication and organizational skills.
