Job Summary
- The Office Assistant supports the daily operations of the office by performing essential administrative and clerical tasks.
- This role is responsible for maintaining a clean, organized, and efficient work environment, assisting with document management, and providing general support to ensure smooth office functionality.
Key Responsibilities
Administrative Support:
- Greet and assist visitors, ensuring a welcoming and professional environment.
- Assist in preparing and organizing office documents, forms, and reports as directed by the Administrative Officer.
Office Maintenance:
- Maintain the cleanliness and organization of the office.
- Monitor office supplies inventory and assist in reordering as necessary.
- Ensure office equipmen is functional; report any issues to the Administrative Officer.
- Assist with setting up meeting rooms and organizing refreshments for office events.
Document and File Management
- Assist in maintaining physical and digital filing systems, ensuring information is organized and accessible.
- Organize and archive documents as required for easy retrieval.
General Support:
- Assist team members with errands, such as photocopying, mailing, and other office-related tasks.
- Coordinate with vendors, service providers, and maintenance personnel as directed.
- Support other departments with minor tasks and projects, ensuring smooth operations across the office.
Requirements and Qualifications
- High School Certificate or equivalent.
- Prior experience in an office setting is a plus.
- Good communication skills and a customer-service-oriented attitude.
- Ability to work both independently and as part of a team.
- Proficient in basic computer skills, including Microsoft Office (Word, Excel, Outlook).
- Strong organizational and multitasking skills.
